# Account, billing, and preference settings

> Update company name and logo, manage your subscription, review billing history, set default templates and cost profiles, and configure timezone preferences.

Settings is where you control how your account looks, how it's billed, and how it behaves by default. Some settings apply only to you personally; others — marked as organization-wide — affect every member of your account and require the Admin role to change.

## Company name and logo

Your company name and logo appear on every proposal and invoice you send to clients. Keeping them accurate matters for your professional presentation.

To update them:

1. Go to **Settings > Organization > General**.
2. Edit the **Company name** field and click **Save**.
3. To update your logo, click **Upload logo**, select an image file (PNG or SVG, minimum 200×200 px), and click **Save**.

  Use a high-resolution PNG or SVG for your logo. A blurry or pixelated logo on client-facing proposals reflects poorly — aim for at least 400×400 px.

## Changing the account owner email

The account owner email is the primary address associated with your subscription and receives billing receipts, renewal reminders, and critical account notifications.

    Navigate to **Settings** in the sidebar and select the **General** tab under the Organization section.

    Find the **Account owner email** field and enter the new address.

    Click **Save**. A verification email will be sent to the new address. The change takes effect once the new address is confirmed.

  You must have Admin access to change the account owner email. If you're locked out of the current owner account, contact [support@contractor-co-pilot.com](mailto:support@contractor-co-pilot.com).

## Managing your subscription

Your subscription controls how many team members you can have, which features are available, and your billing cycle.

To view or change your plan:

1. Go to **Settings > Billing**.
2. Your current plan (Starter, Professional, or Business) is displayed at the top of the page.
3. Click **Upgrade** or **Change plan** to see available options.

**Upgrading** takes effect immediately. You'll be charged a prorated amount for the remainder of your current billing cycle, then the full new rate at the next renewal.

**Downgrading** takes effect at the end of your current billing period. Your account stays on the higher plan until then.

  Annual billing saves roughly 20% compared to month-to-month. If you're on a monthly plan and your usage has stabilized, switching to annual is the fastest way to reduce costs. The option appears on the billing page under **Billing cycle**.

### Canceling your subscription

<Warning>
  Canceling your subscription removes access to your account at the end of the current billing period. Your data — estimates, projects, clients, and invoices — is retained for 90 days after cancellation, giving you time to export it. After 90 days, your data is permanently deleted and cannot be recovered.

To cancel:

1. Go to **Settings > Billing**.
2. Click **Cancel subscription** at the bottom of the page.
3. Select a cancellation reason (this helps the team improve the product) and confirm.

If you cancel and want to reactivate before your access expires, you can do so from the billing page at any time before the period ends.

## Billing history and invoices

Every payment Contractor Co-Pilot has charged to your account is listed in **Settings > Billing > Billing history**. Click any entry to download a PDF receipt. Receipts are also emailed automatically to the account owner address after each charge.

## Default cost profile and proposal template

Setting organization-wide defaults means your team starts every estimate and proposal from a consistent baseline rather than selecting settings each time.

* **Default cost profile** — Go to **Settings > Organization > Documents** and select the cost profile that should apply to new estimates by default. Individual divisions can override this with their own cost profile.
* **Default proposal template** — On the same page, choose the proposal template that pre-fills when your team creates a new proposal. Estimators can select a different template at creation time.

## Timezone and locale

Timezone and locale settings affect how dates, times, and currency are displayed throughout the app and on client-facing documents.

To update them:

1. Go to **Settings > Account > General**.
2. Set your **Timezone** from the dropdown.
3. Set your **Locale** (this controls date format, number separators, and currency symbol).
4. Click **Save**.

  Timezone is a personal setting — each team member can set their own. Locale affects how numbers and dates appear on proposals and invoices, so coordinate with your team if you operate across regions.
