Your client list is the hub of everything sales-related in Contractor Co-Pilot. Each client record holds contact details, multiple contacts (project managers, owners, accounts payable staff), and a full history of every estimate, proposal, project, invoice, and document tied to that account.

Adding a new client

Open the Clients list

Go to Clients in the left sidebar. You’ll see your full client list with search, filter, and sort controls at the top.

Start a new client record

Click New Client in the top-right corner. A dialog opens with the fields for your new client.

Enter the company details

Fill in the following:
  • Company name — The name that appears on proposals, invoices, and documents.
  • Email — Primary contact email for this account.
  • Phone — Main phone number.
  • Address — Optional billing or mailing address.
If you’re adding an individual contractor or sole trader rather than a company, use their full name as the company name.

Save the client

Click Save. The client record opens immediately so you can add contacts or start an estimate right away.

Adding contacts

Each client can have multiple contacts — project managers, decision-makers, accounts payable staff, and anyone else your team communicates with. Contacts are managed on the client’s own page.
  1. Open the client record.
  2. Click the Contacts tab.
  3. Click Add Contact.
  4. Enter the contact’s name, email, phone number, and job title.
  5. Click Save.
Contacts appear when you address emails, add notes, or link communication history to a specific person at the company.

The client detail page

Every client has a detail page that consolidates everything related to that account. Use the tabs to navigate between sections:

Overview

Contact information, key account metrics, and a summary of recent activity across estimates, proposals, and invoices.

Contacts

Everyone at this company you work with. Add, edit, or remove individual contacts here.

Work

All estimates, projects, and services attached to this client, with status and value at a glance.

Jobsites

Individual jobsite locations linked to this account. Useful for clients with multiple properties or work sites.

Documents

Files associated with this client — specs, permits, photos, contracts, and anything else you’ve uploaded.

Emails

Messages linked to this client. Emails imported and reviewed through the communications inbox appear here.

Searching and filtering

The clients list supports several ways to narrow your view:
  • Search — Type in the search bar to find clients by name, email, or phone number.
  • Status filter — Toggle between Active and Inactive clients.
  • Sort — Sort by name, date created, or most recent activity.
  • Stage filter — Filter by pipeline stage (Lead, Active, Won, Lost) to focus on specific parts of your sales process.

Importing clients from CSV

If you have an existing client list in a spreadsheet, you can bring it in without manual re-entry.
  1. On the Clients page, click Import.
  2. Upload your .xlsx or .csv file. The file should include columns for name, email, phone, and address.
  3. Map your spreadsheet columns to the correct fields.
  4. Review the preview, then confirm the import.

The client portal

The client portal is a secure, branded page where your clients review proposals, pay invoices (where online payments are enabled), and access shared documents — without needing a full account. When you send a proposal, your client receives a share link. They can:
  • View the full proposal with pricing and scope details.
  • Accept the proposal in one click (with optional feedback notes).
  • Decline and leave a reason so you have context to follow up.
  • Pay invoices online where your organization has payments configured.
  • View documents you’ve marked as portal-visible.
When a client opens a proposal in the portal, you’ll receive a notification in Contractor Co-Pilot. Use that signal to time your follow-up calls.
Accepted proposals automatically move the associated estimate to Won status — no manual status updates needed.

  • Pipeline — Track leads through your sales pipeline.
  • Proposals — Build and send proposals to clients.
  • Importing Data — Bring in existing client lists from spreadsheets.
