If your company runs more than one line of business — say, a residential crew and a commercial crew, or offices in multiple cities — divisions let you keep them cleanly separated while still managing everything from a single organization. Each division gets its own members, its own projects, and its own budget. Leadership always has a company-wide view; division members only see what’s in their scope.
Divisions require the Business plan or higher. Only Admins can create and manage divisions. Contact support@contractor-co-pilot.com if you need to discuss per-division billing arrangements.

What a division includes

Each division you create is an independent operating unit with:
  • Name and description — A clear label for the business unit or location (for example, “Residential”, “Commercial”, or “Austin Office”)
  • Team members — Only the people assigned to a division see its projects and data
  • Budget allocation — An optional budget ceiling tracked separately from other divisions
  • Projects — Projects are assigned to a division at creation time and stay scoped there
  • Division-level cost overrides — Labor rates, material markups, and overhead percentages can be set per division, overriding the organization defaults for that unit’s estimates

Creating a division

Go to Organization > Divisions

Click Organization in the sidebar, then select Divisions from the sub-navigation.

Click New Division

Select New Division in the top-right corner of the Divisions page.

Fill in the details

Enter:
  • Name — What this division is called (keep it short; it appears in dropdowns across the app)
  • Description — What this division covers or which team it belongs to
  • Budget — An optional budget allocation; leave blank if you track budget at the project level only

Save

Click Save. The division is now active and appears in your Divisions list.

Assigning team members to a division

A team member can belong to one or more divisions. Members only see projects and estimates that belong to divisions they’re assigned to.

Open the division

Click any division name in the Divisions list to open its detail page.

Open the Members tab

Select the Members tab on the division detail page.

Add members

Click Add Member, search by name or email, and confirm. The member’s role carries over from the organization level — you cannot grant a higher role within a division than the member already holds.
When you invite a new team member to your organization, you can assign them to a division during the invitation flow. This saves a second step.

Division-level cost overrides

Each division can have its own default cost profile — different labor burden rates, material markups, or overhead percentages from the organization defaults. This is useful if, for example, your commercial division works under union wage rules that differ from your residential crew. To set cost overrides:
  1. Open the division detail page.
  2. Select the Cost Profile tab.
  3. Adjust labor rates, markups, or overhead as needed.
  4. Click Save overrides.
Any estimate created within that division will use these values as its starting defaults. Estimators can still override values on individual line items.

How visibility works by role

The platform enforces scope automatically based on division membership: Leadership and Admin users see an aggregated company-wide dashboard that rolls up budget, revenue, and project status across every division. Division members see only their own scope.

Viewing a division’s performance

Click any division name in the Divisions list to open its detail page. From there you can see:
  • Projects — All active and completed projects assigned to this division
  • Budget tracking — Division budget vs. actual spending to date
  • Spending breakdown — How the division’s budget is allocated across labor, materials, equipment, and overhead
